AI & LLM integration

Adding AI features to an existing product takes more than an API key. The real work is getting from a promising demo to something accurate, fast, and cost-controlled in production.

Timeline

The hard part

We build the evaluation set before tuning anything. Without one, nobody can tell whether a prompt change made the product better or worse — with one, quality is measurable, and it stays in your CI after we're done.

The hard part

The most common MVP mistake is building for imaginary scale — complex infrastructure before the tenth customer. We write down what we're deliberately not building and keep the architecture simple until real usage justifies more.

When the system that got you here starts slowing every release: the original authors have moved on, deploys feel risky, and estimates keep growing.

Six steps, each described by what you receive at the end of it.

You're in the vehicle for the whole drive. The engineers building the road are the ones at the wheel, and everything on the dashboard is visible to you at any point — that's what the six steps above add up to.

  1. Pre-discovery — free

    A call and a short written take on your idea: whether it's feasible, where the risk sits, and what a sensible next step looks like. No cost, no commitment.

  2. Discovery

    A written problem statement, the main risks, and a recommendation on scope — including what we think you shouldn't build yet.

  3. Architecture & estimate

    An architecture document detailed enough to hand to any vendor, and an estimate with its assumptions written down. The document is yours either way.

  4. Two-week sprints

    Working software on a staging environment every second Friday — a live demo you can click through, in a repository you own.

  5. QA, docs & handover

    A tested release, documentation, runbooks, and recorded handover sessions, so your team can operate the system independently.

  6. Support & iteration

    A defined support window with agreed response times — handled by the same engineers who built the system.

Products we built end to end

Six projects delivered from architecture through launch. Three we can name; three are under NDA, so we describe them in outline only.

RxDinkum — a verified, patient-first medicine reviews platform for Australia

Australians had nowhere trustworthy to learn what a medicine actually feels like to take — the choice was drug-company marketing or dense clinical data, and open review sites couldn't prove a reviewer had ever been prescribed the medicine. Talvex designed and built the whole platform: a fast public web app, a Node.js API with reviewer verification, a pharmacist moderation console, and a pharmacy partner portal, running on AWS and built to scale as the catalogue grows.

BadmHub — the single digital home for badminton in Ukraine

BadmHub set out to replace a scattered collection of tools and websites with one platform for the country's badminton community. A dedicated Talvex Solutions team delivered a SaaS product that runs tournaments end to end, maintains official national rankings, tracks matches live, and gives clubs, players, and organizers a single place to operate — with an architecture built to keep growing after launch.

NK Cargo — one system for a freight forwarder, from enquiry to delivery

NK Cargo arranges air, sea, and road freight into Ukraine from China, the USA, and Europe — consolidated cargo, commercial shipments, and customs clearance for businesses and private clients. They didn't need a brochure site. They needed one that explains a multimodal service clearly and turns visitors into enquiries, and a back office where the team runs those enquiries instead of tracking them across spreadsheets and chat threads. Talvex built both halves: a React front end that leads to a single action, and a Node.js API on AWS where an enquiry becomes a lead in a manager's queue and then a shipment tracked from supplier pickup to handover.

Payment platform for a coffee-equipment network

The client's existing system had become the bottleneck: it froze, the payment gateway failed regularly, and discrepancies were reconciled by hand — down to repeated trips to the bank. Talvex audited it, concluded that patching would cost more and risk more than rebuilding, and built the platform from scratch: resilient payment acceptance with real failure handling, a clean gateway integration, and financial reporting available in real time.

Real-time platform for a mid-market freight carrier

A carrier serving the agriculture sector ran 30+ vehicles and 5 warehouses across disconnected tools: no live view of where trucks were, no reliable sync between warehouses, vehicles, and drivers, no dependable picture of stock on hand. Talvex built one operational system — real-time tracking, continuous sync across the fleet, inventory accounting, and routing driven by the actual state of the fleet rather than manual guesswork.

Warehouse management system for a clothing retailer

Stock across the retailer's warehouses was tracked in Google Sheets, which stopped scaling as the business grew — error-prone, and never a reliable view of what was actually on the shelves. Enterprise WMS platforms were expensive and didn't fit how the company works, so Talvex built one around its real workflows: usable from a phone or tablet on the warehouse floor, not only from a desk, and clean enough for the client's own team to take over.

Time zones & communication

Ukraine is one hour ahead of Central Europe, so EU clients share almost the entire working day with us. For the US East Coast, our afternoon overlaps with your morning; for West Coast clients we schedule meetings in your morning hours.

Contracts

We work under a Master Service Agreement with a Statement of Work per project. Governing law and jurisdiction are your choice — an EU jurisdiction or a US state — with an arbitration clause for a defined dispute path.

We sign your NDA, or provide ours, before any technical discussion.

Intellectual property

All intellectual property transfers fully and exclusively to you upon payment, under work-for-hire terms in the MSA. No license-back, no reuse rights, no shared ownership.

In practice there's little to transfer at the end: the code lives in your repository from the first commit, under your organization and your access controls.

Payments

We invoice in EUR or USD by standard bank transfer to a Ukrainian entity, with Wise or Payoneer as alternatives if your finance team prefers. Standard net payment terms, no setup fees.

With the first invoice we provide the paperwork your finance team will ask for: certificate of incorporation, tax residency certificate, bank confirmation, and a W-8BEN-E for US clients.

Data protection

For projects involving personal data we act as a data processor under GDPR, with a Data Processing Agreement available at signing. Production data stays in your infrastructure and your region; we work against staging environments and anonymized data wherever the architecture allows.

Our subprocessor list is short and documented, and changes only with notice to you. We complete security questionnaires as a normal part of onboarding.

Security

Access is role-based and granted per project — the minimum needed, revoked the day someone rolls off. All changes reach production through reviewed pull requests.

Secrets live in a vault, never in code or chat. Work happens on encrypted, managed devices, and production credentials never touch personal machines.

Business continuity

The team is distributed across several locations with redundant power and connectivity, and no project depends on a single person or place. Documentation and handover notes are part of everyday work, not something written in a crisis.

We have operated continuously under these arrangements since 2022, without changing a delivery commitment because of them.

Pricing

We're a mid-market company: we don't compete with the lowest bids, and we cost less than large Western agencies. What we aim for is that the estimate you get is the amount you pay.

Discovery is a paid, fixed-price phase

Pre-discovery — the first call and a written take on your idea — is free. Discovery itself runs one to three weeks and produces the architecture document and the estimate. The document is yours regardless of whether we continue together.

The contract states the price and its assumptions. Any change goes through a written change request with its own estimate, approved by you before work starts.
